Electronic Signature for Home Inspectors and Inspection Companies

Get the pre-inspection agreement signed before you pull into the driveway, and collect repair addenda and vendor contracts without a printer. Give every inspector and office admin a shared signing workflow with seats included and a record of each signature.

For US inspection companies with 1 to 25 inspectors and office staff. Clients sign in a browser without an account.

Encrypted in transit Signers need no account

Electronic signature for home inspectors lets a buyer, co-buyer and agent sign inspection paperwork through personal browser links, by email or SMS code. SignElectronically routes each document in a set order and returns a sealed PDF with an audit certificate. Starter, Plus and Pro include team seats at a flat plan price, so every inspector and office admin can send without a separate subscription.

Agreement before the appointment

Have the agreement signed before you arrive

A buyer books a Thursday inspection with a short contingency window. You show up, the buyer is running late, and the pre-inspection agreement is still a clipboard on the hood of the truck. Half an hour of a tight day is gone before you open the first panel. Sending the agreement the moment the job is booked moves that signature out of your schedule.

Upload your agreement as a PDF, add the client as the signer and place the signature and date fields. If the buyer and a spouse both sign, add a co-buyer and set the order. Reminders go out on their own, and you can see whether the link has been opened before you drive over.

The timeline shows an illustrative inspection agreement signed by the buyer while a co-buyer reviews. When everyone has signed, the sealed PDF and audit certificate come back to your office, so the signed agreement is on file before the inspection starts and not in a truck folder.

Check your state's licensing board rules for required agreement terms. The signature records who agreed and when. It does not decide what your contract has to say, so have counsel review your own wording.

Documents across the inspection company

Give every job and every vendor a signed record

Pre-inspection agreements

Send the same agreement to every client with the right name and property address. Keep the sealed copy with the job record. A reusable template keeps the limits of liability and scope language identical from one inspector to the next.

Repair request addenda and re-inspections

When a buyer wants a re-inspection after repairs, send an authorization with the fee and scope. The buyer, and the agent if needed, sign in order from a phone, and you can schedule the visit with a signed approval in hand.

Add-on service authorizations

Radon, sewer scope, mold sampling and termite add-ons often get agreed to by text. Send a short authorization with price and scope so the extra work has a signed record, not a text thread you have to scroll back to find.

Agent and referral agreements

Referral arrangements, preferred vendor terms and co-marketing agreements usually involve someone who is out showing houses. Route them to a phone and keep a record of who signed and when.

Inspector hiring and contractor paperwork

Hiring a new inspector means an offer letter, a non-compete or confidentiality agreement, a vehicle policy and tool acknowledgments. Send them as one packet and keep the signed set in the personnel file. Bulk send handles a whole onboarding class.

Commercial and property manager contracts

Property managers and investors who order inspections in volume want a master services agreement and a rate sheet. Send it for signature once, then reference it on each order.

How it works

Move a booked inspection to a signed agreement in four steps

  1. Step 1

    Upload the agreement

Export your inspection agreement as a PDF, add the client name and property address and upload it. On Plus or Pro, use a shared template so every inspector starts from the same field layout and signer roles.

  2. Step 2

    Assign signers and order

Add the buyer and any co-buyer, place signature, initial and date fields, and add CC recipients such as the office admin. Check that the right person signs each page before sending.

  3. Step 3

Send by email or SMS code

The client opens a personal link on a phone or laptop and signs in a browser. Reminders and an expiration date keep the booking from stalling, and you see whether the signer has opened the document before you follow up.

  4. Step 4

    File the sealed record

Attach the signed PDF and audit certificate to the job record in your reporting software. Reuse the same template for the next booking, updating the details each time.

The demo above lets you prepare a document before moving into a paid sending workflow. Use a sample form without client information when exploring it. Sending invitations to other signers requires a plan, and each sent envelope uses the plan's monthly allowance.

Batches for offers and policy updates

Send the same document to a whole client or staff list

Team reviewing a client spreadsheet before sending individual agreements

Annual maintenance inspection offers, agent referral updates and employee policy changes all send the same document to many people. Export the list from your scheduling software, remove duplicates and prepare a CSV with each recipient's name, email and document values.

Plus supports 200 recipients per batch, and Pro supports 1,000. Each row creates its own envelope with its own signing record and uses one envelope from the monthly allowance. A client who signs does not wait for the rest of the batch.

Read the CSV bulk send workflow for individual client agreements for template and recipient mapping.

Team cost comparison

Compare included seats with per user subscriptions

An inspection company may have three field inspectors, an office admin and an owner who all send documents. Count the staff who send, not clients or agents, who never need a paid seat. SignElectronically prices the company plan with included seats and a shared monthly envelope allowance.

The table uses DocuSign reference rates for October 2026, Standard at $30 per user per month and Business Pro at $45 per user per month, both billed yearly. The source is DocuSign plans and pricing at docusign.com. Confirm current rates and allowances there before purchasing.

Fit and limitations

Keep your reporting software where it is

No reporting software connector

There is no native connector to Spectora, HomeGauge, ISN or other inspection reporting tools. Export the agreement as a PDF, send it, and attach the completed file to the job. Plus webhooks and the Pro API let your developer match signing events to job records if you want that automated.

Not a scheduler or payment tool

SignElectronically does not build reports, schedule inspections or collect payment. If your reporting software already handles agreements well for your inspectors, keep it for that and use this for vendor, hiring and addendum paperwork.

State rules still apply

Some states regulate inspector contracts, licensing and required disclosures. Confirm your agreement terms with your licensing board and counsel. The audit record shows who signed and when, and it does not replace legal review.

The ESIGN Act and state UETA laws support electronic signatures for many commercial and consumer transactions when consent, intent and record retention requirements are met. The audit certificate records signer email, IP information and timestamps. Review the US electronic signature framework under ESIGN and UETA.

Common questions

Electronic signature for home inspectors FAQ

Yes, a pre-inspection agreement signed electronically is generally valid under the US ESIGN Act and state UETA laws when the client consents to electronic records and intends to sign. A few states regulate inspector contracts and report content, so check your licensing board rules and ask counsel about your agreement wording.
