Electronic Signature for Auto Dealerships and Dealer Paperwork

Get the buyer order, trade-in forms and service agreements signed while the customer is still on the lot or reading email at home. Give sales, F&I and service a shared signing workflow with seats included and a record of every signature.

For independent and small group US dealerships with 3 to 25 staff. Customers sign in a browser without an account.

Encrypted in transit Signers need no account

Electronic signature for auto dealerships lets a buyer, co-buyer and your manager sign dealership paperwork through personal browser links, by email or SMS code. SignElectronically routes each document in a set order and returns a sealed PDF with an audit certificate. Plus and Pro include team seats at a flat plan price, so every salesperson, F&I manager and service advisor can send without a separate subscription.

Buyer, co-buyer and manager

Keep a deal moving when the buyer is not at the desk

A customer agrees to a price on Saturday, then leaves to talk to a spouse. The buyer order, trade-in acknowledgment and delivery terms are ready, but the paperwork sits on a printer. By Monday the customer has driven to another lot. A signing link sent before they leave the parking lot keeps the deal open on their phone.

Upload the final PDF and put the buyer first, the co-buyer second and your sales manager last. Place signature and initial fields on each page that needs them. Sequential signing invites the next person when the previous one finishes, so your manager signs the deal the customer actually accepted, not a draft.

The timeline shows an illustrative buyer order after the buyer signs while the co-buyer reviews. Your manager is invited automatically after the co-buyer finishes and still takes the signing action. When everyone is done, attach the sealed PDF and audit certificate to the deal jacket or DMS record.

For out of town buyers, the same flow works across states. Check each form against your state's rules first. Some motor vehicle agency forms still require specific handling, and an electronic signature on a buyer order does not replace the title process.

Give every department a signed record

Buyer orders and purchase agreements

Send the approved buyer order with the correct vehicle, price and customer details. Collect buyer and co-buyer signatures in order and keep the sealed copy with the deal. Your DMS still produces the numbers, and the signed PDF records what the customer accepted.

Trade-in and appraisal acknowledgments

Capture the customer's acceptance of the trade-in value, payoff responsibility and condition disclosures. A reusable template keeps the same wording on every deal, so salespeople stop retyping disclaimers and managers see consistent paperwork.

Odometer and delivery statements

Send delivery receipts and acknowledgment forms that must be signed on a particular date. Check each state form against its motor vehicle agency requirements first. Where a form can be signed electronically, the audit certificate shows when and from where it was signed.

Service plans and repair authorizations

Service advisors send repair authorizations and estimate approvals by email or SMS code while the car is on the lift. The customer signs from their phone and the advisor sees approval within minutes, instead of leaving a voicemail and waiting.

Employee paperwork and commission plans

Hiring a new salesperson or technician means offer letters, pay plans, handbook acknowledgments and demo vehicle policies. Send them as one packet and keep the signed set in the personnel file. Bulk send handles a whole start class.

Vendor, lot and wholesale agreements

Floorplan side letters, auction agreements, detailer and lot service contracts all need a signature from someone who is rarely in the building. Route them to the owner's phone and keep a record of who signed and when.

How it works

Move a deal from handshake to signed in four steps

  1. Step 1

    Upload the final document

Export the buyer order or form from your DMS as a PDF, check the customer details and upload it. On Plus or Pro, use a shared template so every salesperson starts from the same field layout and signer roles.

  2. Step 2

    Assign signers and order

Add the buyer, co-buyer and your manager in sequence, place signature, initial and date fields, and add any CC recipients such as the F&I manager. Check that the right person signs each page before sending.

  3. Step 3

Send by email or SMS code

The customer opens a personal link on a phone or laptop and signs in a browser. Reminders and an expiration date keep the deal from going quiet, and you see whether the signer has opened the document before you follow up.

  4. Step 4

    File the sealed record

Attach the signed PDF and audit certificate to the deal jacket or DMS record. Reuse the same template for the next customer, updating the details each time.

The demo above lets you prepare a document before moving into a paid sending workflow. Use a sample form without customer information when exploring it. Sending invitations to other signers requires a plan, and each sent envelope uses the plan's monthly allowance.

Batches for service and sales events

Send the same form to a whole customer list

Team reviewing a customer spreadsheet before sending individual consent forms

Recall authorizations, service plan renewals, trade-in event consent forms and employee policy updates all send the same document to many people. Export the list from your DMS or CRM, remove duplicates and prepare a CSV with each recipient's name, email and document values.

Plus supports 200 recipients per batch, and Pro supports 1,000. Each row creates its own envelope with its own signing record and uses one envelope from the monthly allowance. A customer who signs does not wait for the rest of the batch.

Read the CSV bulk send workflow for individual customer agreements for template and recipient mapping.

Team cost comparison

Compare included seats with per user subscriptions

A dealership may have six salespeople, two F&I managers, three service advisors and an office manager who all send documents. Count the staff who send, not customers, who never need a paid seat. SignElectronically prices the company plan with included seats and a shared monthly envelope allowance.

The table uses DocuSign reference rates for October 2026, Standard at $30 per user per month and Business Pro at $45 per user per month, both billed yearly. The source is DocuSign plans and pricing at docusign.com. Confirm current rates and allowances there before purchasing.

Starter for a small lot

$49 monthly or $24 per month billed as $288 yearly includes 3 seats and 50 envelopes per month. Signing order, reminders and an audit trail cover buyer orders and acknowledgments.

Plus for sales and service together

$149 monthly or $74 per month billed as $888 yearly includes 10 seats and 500 envelopes per month. Plus adds shared templates, bulk send, branding, SMS codes and webhooks.

Fit and limitations

Keep your DMS and finance tools where they are

No DMS connector

There is no native CDK, Reynolds, Tekion, DealerSocket or other DMS connector. Export the form as a PDF, send it, and attach the completed file to the deal. Plus webhooks and the Pro API let your developer match signing events to deal records if you want that automated.

Not an e-contracting vault

SignElectronically does not replace RouteOne, Dealertrack or a lender's e-contracting system for retail installment contracts. Keep finance contracts in the system your lenders require and use this for the documents around the deal.

State title rules still apply

Titles, registration, lien and some odometer forms follow your state motor vehicle agency's rules, and a few still need paper or the state's own system. Confirm each form before moving it online, and ask counsel about any document you are unsure of.

The ESIGN Act and state UETA laws support electronic signatures for many commercial and consumer transactions when consent, intent and record retention requirements are met. The audit certificate records signer email, IP information and timestamps; it does not decide whether a particular form is valid in your state. Review the US electronic signature framework under ESIGN and UETA.

Common questions

Electronic signature for auto dealerships FAQ

Yes, electronic signatures are generally valid for dealership documents under the US ESIGN Act and state UETA laws when the signer consents and intends to sign. Some titling, registration and lien forms follow state motor vehicle agency rules, so confirm which documents your state still requires on paper or in its own system.
