Electronic Signature for MSPs and Managed IT Service Agreements

Get the MSA, SOW and quote approval ready to sign while the client is ready to move. Give your owner, service manager and account team a shared signing workflow at a flat team price, with included seats and a clear record of the terms each client accepts.

For US managed service providers and IT consultancies with 3 to 25 people. Clients sign in a browser without an account.

Encrypted in transit Signers need no account

Electronic signature for MSPs lets an authorized client sign a master services agreement, statement of work or quote approval through a personal browser link. SignElectronically routes the packet through client signers and an MSP countersigner, then returns a sealed PDF with an audit certificate. Plus and Pro include team seats at a flat plan price with monthly envelope allowances, so sending access does not require a separate subscription for every colleague.

Client owner to finance to MSP

Keep the MSA and SOW on the same signing timeline

A new managed services client agrees to the proposal, but onboarding still waits for an MSA and the first project SOW. The owner has authority to commit, finance needs to approve the payment terms, and your service manager needs the accepted scope before scheduling technicians. A forwarded attachment gives each person a different place to leave the process unfinished.

Combine the final MSA and SOW into a single PDF packet before uploading it. Put the client owner first, client finance second and your authorized MSP countersigner last. Assign fields on the relevant pages to each person. Sequential signing invites the next signer when the previous signer finishes, so finance does not receive a request that skips the owner's acceptance.

The timeline shows an illustrative packet after the owner signs and while finance reviews it. The MSP invitation follows finance's signature automatically. Your countersigner still takes the signing action. Once everyone finishes, retain the sealed packet and audit certificate with the client record, and use that executed scope when opening the onboarding project in your PSA.

If finance only needs a copy, make that contact a CC recipient instead of requiring a signature. Confirm the client's actual approval policy before saving the roles in a shared template. A billing contact is not automatically authorized to accept service obligations, and a completed signature does not replace your internal review of service coverage.

Documents across the client relationship

Give every service commitment a signed record

Master services agreements

Send the approved MSA with the correct client entity and authorized representatives. Keep recurring service terms, responsibility boundaries and termination wording in the final document. The signature record helps your team identify which agreement governs the account when an owner or account manager changes.

Statements of work

Define the project deliverables, exclusions, acceptance criteria and client dependencies before sending. A signed SOW gives your project lead a fixed scope to reference when scheduling a migration or deployment. Keep the relevant MSA reference in the document so the project terms sit in their intended contractual context.

Quote and proposal acceptance

Export the approved quote from your existing quoting tool and collect acceptance on that version. Confirm the product descriptions, service assumptions and validity wording before sending. Keep quote creation, distributor costs and margin calculations in the quoting system, while the signed PDF records the offer the client accepts.

Onboarding and authorization forms

Collect approval for the agreed onboarding activities, designated contacts and access responsibilities. Keep privileged credentials in your established secure credential process. The signed authorization states what the client permits your team to do; it does not grant access automatically or validate that every requested account belongs to the client.

Change orders and project change requests

Document additional work when a discovery finding changes the original scope. Identify the affected SOW, describe the revised deliverables and record any approved fee or scheduling changes. Send the change request before assigning the extra work, then file the executed version alongside the original project agreement.

Annual renewals and price increase notices

Prepare the renewal term, revised service price and effective date from your approved account records. Request a signature where your agreement or chosen renewal process calls for acceptance. Use the executed letter to support the account handoff to billing, while checking notice timing separately against the governing agreement.

NDAs with subcontractors

Send the approved NDA before sharing client information with a subcontractor. Name the signing representative and describe the information covered in the document. Keep any subcontractor service agreement and access approval in your onboarding process, since an NDA alone does not establish project scope or authorize access to client systems.

How it works

Move an approved agreement into delivery in four steps

  1. Step 1

    Prepare the approved packet

Finish negotiation in your existing document process. Combine the MSA and relevant SOW into a PDF, verify the client details and upload it. On Plus or Pro, use a shared template so account managers start from the approved field layout and signer roles.

  2. Step 2

    Assign the signing roles

Confirm who has authority at the client. Add the owner, finance signer and MSP countersigner in sequence, place their required fields and add any CC recipients. Check that scope acceptance and payment approval go to the right people before sending.

  3. Step 3

    Send and track the request

Send personal email invitations with reminders and an expiration date suited to the agreement. Clients review and sign in a browser. Check whether the active signer has viewed the packet before following up, and resolve requested contract changes before issuing a revised envelope.

  4. Step 4

    File the executed agreement

Retain the sealed PDF and audit certificate with the client record. Confirm that the packet is complete before opening delivery work or changing recurring billing. Reuse the approved template for the next agreement, updating client details and scope each time.

The demo above lets you prepare a document before moving into a paid sending workflow. Use a sample agreement without confidential client information when exploring it. Sending invitations to other signers requires a plan, and each sent envelope uses the plan's monthly allowance.

Annual renewal workflow

Send price uplift letters across your client base with CSV

Team reviewing a recipient spreadsheet before sending individual renewal agreements

Renewal CSV preparation

  • Client reference and authorized signer
  • Recipient email checked against the account
  • Approved renewal price and effective date
  • Template fields mapped before sending

Each client receives a separate envelope and signing record.

Annual renewal season often means the same approved letter with a different service price and effective date for each client. Export your eligible client list, reconcile it with the current contract records and prepare a CSV for bulk send. Remove closed accounts, duplicate contacts and clients whose renewal terms need an individual discussion.

Use a template that states the renewed services, revised price, effective date and acceptance wording. Map the CSV's signer name and email to the client role, then map the approved document values to their matching fields. Review the mapping and document before launching the batch. A spreadsheet column in the wrong field can turn an approved change into an incorrect client notice.

Plus supports 200 recipients per batch, and Pro supports 1,000. Each row creates its own envelope and consumes allowance. Include renewal letters alongside new MSAs, project SOWs and change requests when estimating the month's total. The whole client base can be split into batches within the plan's limits.

Track each client's status separately and follow up on the unsigned letters. A client that signs does not wait for the rest of the batch. File the completed letter with its original agreement, then update the PSA billing record through your existing review process. Signature completion alone does not change a recurring invoice in another system.

Some contracts distinguish a notice from an amendment requiring acceptance. Check the applicable wording and delivery requirements before choosing a signing workflow. Read the CSV bulk send workflow for individual client agreements for the template and recipient mapping process.

Team cost comparison

Compare included seats with per user subscriptions

An MSP owner may send the MSA while an account manager sends renewals and a service manager sends change requests. Count the staff who prepare and send documents, rather than all technicians or client recipients. SignElectronically prices the company plan with included seats and a shared monthly envelope allowance.

The table uses the DocuSign reference rates supplied for October 2026, Standard at $30 per user per month and Business Pro at $45 per user per month, both billed yearly. The source is DocuSign plans and pricing at docusign.com. Confirm current rates, allowances and available terms there before purchasing.

Starter for occasional agreements

$49 monthly or $24 per month billed as $288 yearly includes 3 seats and 50 envelopes per month. Signing order, reminders and an audit trail cover basic contracts. Choose a higher plan when shared templates, bulk send or integrations are part of the workflow.

Plus for shared client paperwork

$149 monthly or $74 per month billed as $888 yearly includes 10 seats and 500 envelopes per month. Plus adds shared templates, bulk send, branding, SMS codes and webhooks for teams managing client renewals and ongoing project agreements.

Pro for custom signing workflows

$499 monthly or $249 per month billed as $2,988 yearly includes 25 seats and 2,000 envelopes per month. Pro adds API access, embedded signing, SSO and retention rules. Choose it when your own client portal or automation needs to initiate signing.

API and webhooks

Connect signing events to the tools your team owns

Use Plus webhooks for event updates

Plus webhooks let your integration receive signing events such as sent, viewed, signed and completed. Your developer can match an event to an internal client or project record and update a status your service team already watches. An individual signer completing their action is different from the entire envelope being complete, so choose the event that matches the business handoff.

A webhook reports activity after it happens. It does not create an agreement from a PSA opportunity or supply a native connector. Define the account reference, destination record and completed document filing process before depending on it for onboarding. Keep a manual review path for events your receiving system cannot match or process.

Use Pro to initiate signing from your tools

Pro adds API access and embedded signing. A developer can build a workflow that creates a signing request from an approved action in your own tools, or presents the signing experience inside your client portal. API envelopes count toward the same monthly allowance, so automation does not create a separate pool of sending capacity.

Scope document preparation, recipient validation, approval before sending and storage of the completed record. A successful request is not the same as a signed agreement. Use completion events to trigger your next review, and keep signature links restricted to their intended recipients. Start with the eSignature API and embedded signing documentation when assessing the custom work.

Fit and limitations

Keep quoting and PSA operations in their existing tools

No native PSA connectors

SignElectronically has no native ConnectWise, Autotask or HaloPSA connector. Use Plus webhooks, a custom Pro API connection or manual export of completed documents. Budget for your developer's work and confirm the other system's integration capabilities before expecting automatic opportunity updates, ticket creation or attachment filing.

Quoting remains a separate workflow

Zomentum and ScalePad Quoter bundle quoting with signing. SignElectronically does not replace their quote building, product catalogs or pricing workflows. If your PSA's built in quote acceptance already meets the requirement, keep using it. A separate signing tool fits broader agreements, ordered signers and renewal batches that need their own retained record.

No qualified electronic signatures

Qualified electronic signatures, or QES, are not offered. This page addresses ordinary US business agreements under the ESIGN Act and applicable UETA law. If a client requires a specific signature standard or a document falls outside that framework, confirm the requirement with counsel before selecting the signing process.

The ESIGN Act and applicable state UETA law support electronic signatures for many commercial agreements when the relevant requirements are met. Signer authority, intent, consent and record retention still matter. The audit certificate records signing activity, including signer email, IP information and timestamps; it does not determine whether your service terms are enforceable. Review the US electronic signature framework under ESIGN and UETA and ask counsel about your particular agreement.

Common questions

Electronic signature for MSPs FAQ

Yes, electronic signatures can be legally binding for ordinary MSP contracts under the US ESIGN Act and applicable state UETA law. The signer needs authority, intent to sign and consent to electronic records. Retain the executed agreement and audit certificate, and ask counsel to review your terms and any applicable exceptions.
