Electronic Signature for Property Management Companies and Lease eSignature

SignElectronically is eSignature software for property management companies with 3 to 25 people. Send renewal offers to a whole portfolio from one CSV, get owner management agreements and vendor contracts signed, and keep a sealed lease with an audit certificate in each unit file.

Seats for leasing agents, coordinators and accounting are included. Tenants and owners sign without an account.

Renewal season

Fifty leases expire next month and nobody wants to chase them

A company managing 600 doors has roughly fifty leases ending every month. Each one needs a renewal offer 60 to 90 days ahead, a signed renewal or a notice to vacate, and an updated rent figure in the system before the next billing run. When those offers go out as PDF attachments, a third of tenants never print them, a few sign page one and photograph it, and the leasing team spends the last week of the month knocking on doors.

With electronic signature the leasing coordinator exports the expiring leases, fills a CSV with tenant names, emails, unit, new rent and term, picks the renewal template and sends once. Every household gets its own envelope. The dashboard shows who opened, who signed and who has not touched it, and reminders go out every two days without anyone writing them.

The renewals that come back signed carry a certificate with timestamps, IP addresses and a hash of the final PDF. The ones that do not come back are a short, visible list two months before the unit turns, which is exactly when you want to know.

Plus sends up to 200 renewals per batch and Pro up to 1,000. Each row in the file becomes a separate envelope, so a tenant only ever sees their own unit, rent and dates, and each signed renewal has its own certificate. Columns map to text fields in the template, which means the new rent and the new end date are typed by the file, not by a tired coordinator at 6 pm.

Roommates still work in bulk. Put each co-tenant in the row and they sign in parallel inside the same envelope, with the manager countersigning after the last tenant. The same approach covers a rent increase addendum, a new pet or parking addendum for a building, or an updated community policy that every resident has to acknowledge.

  • Up to 200 renewals per batch on Plus, 1,000 on Pro
  • CSV columns fill rent, term and unit fields
  • Co-tenants sign in parallel, the manager signs last
  • Reminders every two days until the offer expires

What you get

Built for the paperwork around every door

Seats for the whole office

Starter includes 3 seats, Plus 10 and Pro 25. Leasing agents, the maintenance coordinator and the accounting lead each send under their own name, and the owner of the company sees everything.

A template per document type

Save the renewal addendum, the owner management agreement, the move in checklist and the vendor agreement once, with roles and fields already placed. Agents fill names and dates, never the legal text.

Tenants sign on a phone

No account, no app and no printer. The tenant opens a personal link, reads the lease, initials each page you marked and signs with a finger.

Folders per property

File every envelope under the building or the owner it belongs to, so a renewal for Oak Ridge never ends up next to a vendor contract for Elm Court.

Identity check before opening

Require a one time code by email on every plan, or by text message from Plus, before a tenant or owner opens the document.

Back into your system

Plus sends a webhook when an envelope completes, and Pro adds the REST API, so a signed renewal can update the lease record or land in the right folder automatically.

Scope

Which property management documents to send here

Property management documents and how to sign them electronically
Document Who signs How we set it up
Residential lease, new move in Every adult tenant, guarantor, then manager Template with parallel tenant group, manager last
Lease renewal or extension addendum Tenants, then manager Bulk send from a CSV, rent and term as fields
Rent increase or policy addendum Every resident in a building Bulk send, one envelope per unit
Property management agreement Owner, then broker or manager Sequential order, copy to accounting
Vendor and contractor agreements Vendor, then maintenance lead Template with insurance and rate fields
Move in and move out inspection checklist Tenant and leasing agent Checkbox and text fields, signed on a tablet
Lead based paint disclosure, pre 1978 housing Tenant and manager Separate document in the lease packet
Pay or quit, eviction and default notices Not applicable Excluded from ESIGN for a primary residence, follow state delivery rules
Deeds and documents that need a notary Signer before a notary Use a notary or a remote online notarization service
General information for the United States, not legal advice. Landlord tenant law is set by each state and some cities, so confirm notice and disclosure rules with your attorney.

The statute behind each row is on our ESIGN Act and UETA page. For a single lease with roommates and a guarantor, the step by step setup is on real estate eSignature for leases, and the mechanics of sending one document to hundreds of people are on bulk send documents for signature.

Reminder every 3 days, expires in 14 days

Your property management software is very good at the standard lease it generates. It is usually less helpful with the documents that win and keep the business: the management agreement a new owner signs, the fee schedule change you send to every owner in January, the landscaping and HVAC contracts, the HOA estoppel request, a commercial lease your attorney drafted in Word.

Those are the documents that sit in someone's email for two weeks. Send them here with a fixed signing order: both owners first, the broker of record second, accounting in copy. When a new owner signs on a Thursday, you can collect keys and list the unit on Friday instead of waiting for a scan.

Owners who live out of state sign on a phone in the same three minutes as a tenant. Every party, including the co-owner who forwarded the link to their accountant first, is named on the certificate.

How it works

From expiring lease to signed renewal in four steps

  1. 1

    Save the renewal template

Upload your renewal addendum once and place fields for tenant, unit, new rent, start date and term, plus a manager signature at the end.

  2. 2

    Export the expiring leases

Pull the list from your property management system into a CSV with one row per unit and a column per field.

  3. 3

Bulk send and watch the list

Every row becomes its own envelope. Reminders run every two days and the dashboard shows who is still open.

  4. 4

    Countersign and file

Sign each completed renewal, download the sealed PDF with its certificate and attach it to the lease record.

Cost

What a property management company pays for eSignature

Per user pricing does not fit a property management office, because the people who send documents change with the season. In spring three leasing agents, a coordinator and the office manager all send renewals, and in summer a maintenance lead sends vendor agreements. Paying $30 to $45 a month for each of them adds up fast, and bulk send is usually reserved for the most expensive tier.

Starter covers 3 people and 50 envelopes a month for $24 a month on yearly billing, which fits a small landlord office. Plus covers 10 people, 500 envelopes, bulk send, SMS codes and webhooks for $74 a month, enough for a 600 door portfolio renewing about fifty leases a month. Pro covers 25 people, 2,000 envelopes and the eSignature API for $249 a month.

One envelope is one sending, however many tenants sign it. Tenants, guarantors, owners and vendors never need a seat. Companies moving off a per user plan can see the full math on our DocuSign alternative page.

Straight answers

What we do not do for property managers

We are not a property management system

No rent ledger, tenant screening or maintenance tickets. Keep AppFolio, Buildium, Yardi or Rent Manager for that, and connect through webhooks on Plus or the API on Pro.

No rent collection on the signing page

Tenants sign here and pay the deposit and first month through your rent payment portal.

No notarization

We do not offer remote online notarization. Deeds and anything a county or lender wants notarized go through a notary service.

Questions

Electronic signature for property management FAQ

Yes. Under the federal ESIGN Act and the Uniform Electronic Transactions Act adopted in 49 states, a residential or commercial lease signed electronically is as valid as one signed in ink, provided each tenant agrees to sign electronically and you keep an accurate copy of the signed record. New York, the one state without UETA, recognizes e-signatures under its own Electronic Signatures and Records Act.
