Offer Letter eSignature for HR Teams

With offer letter eSignature, a candidate accepts from a phone minutes after you send. SignElectronically fills the letter from a template, routes it to the candidate and then to your HR lead, and returns a sealed copy to both.

An offer signed the same afternoon

A good candidate usually has more than one offer. Every day between the verbal yes and the signed letter is a day they can change their mind. A PDF attachment that has to be printed, signed and scanned adds exactly those days.

Sent for eSignature, the letter arrives as a link. The candidate reads it on the train, signs with a finger and gets a copy at once. Your HR lead countersigns next, and the hiring manager receives the finished letter as CC.

  • Expiry date on the offer, with reminders before it lapses
  • Candidate signs first, company countersigns second
  • Your logo and sender name on the email from Plus
  • Declined offers come back with the reason the candidate gave

Set up once

From offer template to signed letter

  1. Step 1

    Build the template

Upload your offer letter, add Candidate and HR lead roles and text fields for title, start date and salary.

  2. Step 2

    Fill in the offer

Choose the template, type the candidate email and the three values.

  3. Step 3

    Send with an expiry

Set how long the offer is open. Reminders go out on their own.

  4. Step 4

    Countersign and file

Your HR lead signs after the candidate. Both get the sealed PDF and certificate.

Templates keep every offer consistent with the version legal approved. More on eSignature templates.

Day one paperwork

Onboarding packets for a whole intake

After the offer comes the packet. A confidentiality agreement, the handbook acknowledgment, the equipment form. Twelve new hires starting on the same Monday means thirty six documents to collect.

Put the forms in one template, export the list of starters from your HR system and bulk send documents for signature. Each person gets a private envelope, and the batch view shows who is done and who needs a nudge.

Questions

Offer letter eSignature FAQ

Yes. An offer letter is an ordinary business document, and in the United States electronic signatures on such documents are valid under the ESIGN Act and UETA. The candidate must intend to sign and agree to use electronic records, both of which are captured in the signing flow.
