Electronic Signature for Freight Brokers, Rate Confirmations and Carrier Packets

Get the rate con signed while the carrier dispatcher is still on the phone. SignElectronically gives US freight brokerages a signing workflow for rate confirmations, carrier agreements and shipper contracts, with included staff seats on one company plan.

For owners and operations managers with 3 to 25 staff. Carriers sign without an account.

Encrypted in transit Signers need no account

Electronic signature for freight brokers turns a rate confirmation PDF into a personal signing link the carrier opens on a phone. The completed document returns as a sealed PDF with an audit certificate recording the signer email, IP address and timestamps. Plus and Pro cover the sending desk on one flat plan, with monthly envelope allowances.

The dock is waiting

Keep the load moving without chasing a scan

The truck is waiting at the dock and the carrier dispatcher is on the phone. Your TMS produces a PDF but has no signing step. You email the rate con, wait for a scanned copy and receive a crooked page with an unreadable signature. The next dispatcher repeats the process for another load.

Send a signing link instead. The carrier reviews the current document and signs from a phone. Your desk sees whether the invitation is pending, viewed or signed, so a follow up starts with the actual status rather than another search through attachments.

Double brokering risk makes the record matter. You want to know who signs, when they sign and which terms they accept. A certificate supports that record, but it does not prove carrier authority or eliminate fraud. Keep your independent carrier checks before tendering a load.

Illustrative workflow with fictional people and carrier

Save your approved rate confirmation as a template. Include carrier name, MC number, agreed rate, accessorials and pickup and delivery windows. Prefill the commercial terms before sending and leave the carrier acceptance fields for its authorized dispatcher. Include the time zone in appointment wording so the phone view carries the same instructions as dispatch.

Send the personal invitation by email. If the carrier works through texts, share that recipient's signing link through your own SMS process. The carrier opens it in a browser without an account, reviews the terms and signs. Add a broker countersign when your execution process requires one.

Set automatic email reminders and an expiration date appropriate to the load. After completion, retain the sealed PDF and audit certificate with the load record. The certificate includes the signer email, IP address, UTC timestamps and document hashes. Keep the dispatcher phone number in your carrier record or packet. See what the electronic signature audit trail records.

  • Confirm the carrier contact through your vetting process
  • Check the MC number and load terms before sending
  • Use a fresh envelope for each separate rate confirmation
  • Retain the final copy rather than a forwarded draft

Brokerage paperwork

Use the same signing desk beyond rate confirmations

Rate confirmations

Record the accepted lane, rate and accessorial terms against the load. Required signature fields make acceptance explicit, while the completed PDF gives operations a readable copy to file.

Carrier agreements

Start from the current broker-carrier agreement. Route it to the authorized carrier representative and your broker signer, keeping the accepted version alongside the carrier setup records.

Shipper credit applications

Collect the shipper representative's authorization and application details in a signed document. Your credit team reviews references and makes the credit decision through its existing process.

Customer transportation agreements

Send the approved service terms to the shipper and then your authorized countersigner. Keep the executed agreement available when account managers review claims, billing terms or scope changes.

Driver and agent agreements

Agent based brokerages can route independent contractor agreements to agents or drivers where that relationship applies. Have counsel confirm classification, responsibilities and signer authority before using the template.

A shared sending workflow

Plus and Pro provide shared templates, folders and branding. Give dispatchers an approved starting document and use reminders for pending signatures. Compare the document signing features against your desk's requirements.

Carrier setup and renewals

Prepare a packet and update active carriers in bulk

Combine the broker-carrier agreement, W-9 and insurance certificate request into a single PDF packet before uploading it to one envelope. Place fields on the relevant pages and assign each signer. Ask for the carrier's authority details in the setup form. Keep source insurance and authority documents in your existing carrier file.

The insurance request asks the carrier to arrange the certificate through your established process. Signing that request does not deliver or verify coverage. Review W-9 details and supporting records separately before marking the carrier approved in your operations system.

When counsel approves an updated agreement, use bulk send from a carrier CSV to send a separate copy to every active carrier. Plus supports 200 recipients per batch. Map the contact name and email to the signing role and carrier name to its document field.

Export an active list, remove duplicates and confirm authorized contacts before sending. Each row uses an envelope and has its own completion status. A carrier that finishes does not wait for the rest of the batch. Reserve allowance for daily rate cons before scheduling the update.

A completed envelope records signing. It does not approve a carrier, confirm insurance or authorize a load tender.

Rate confirmations and carrier agreements are ordinary commercial contracts that can be enforceable with electronic signatures under the federal ESIGN Act and state UETA where applicable. Authority, consent, contract terms and record retention still matter. Review the ESIGN Act and UETA framework and have counsel check your forms and any document specific requirements.

Plans and desk cost

Choose for monthly loads as well as staff seats

Starter costs $49 per month, or $24 per month billed yearly. It includes 3 seats and 50 envelopes. Its allowance suits occasional paperwork more than a dispatch desk sending rate cons throughout the day.

Plus costs $149 monthly, or $74 per month billed as $888 yearly. It includes 10 seats, 500 envelopes per month, bulk send up to 200 per batch, SMS codes, webhooks and branding.

Pro costs $499 monthly, or $249 per month billed as $2,988 yearly. It includes 25 seats and 2,000 envelopes per month, plus API access, embedded signing and SSO.

At the DocuSign Business Pro list rate of $45 per user per month on annual billing, 10 dispatchers cost $450 per month. Plus is $149 on monthly billing for 10 included seats. The bars compare seat costs under those billing terms, not equivalent envelope limits or negotiated offers.

A busy desk can exceed 500 rate cons per month. Count monthly loads, carrier packets, agreement updates and other envelopes before choosing. Pro provides 2,000, with Enterprise above that. Review company pricing and monthly allowances before selecting a plan. Carrier recipients do not use paid staff seats.

Service boundaries

Keep freight operations checks in dedicated tools

No native TMS connector

McLeod, Aljex, Tai and Rose Rocket are not natively integrated. Plus webhooks and the Pro API let a developer build a connection. Use the eSignature API documentation to scope that work before relying on automated document filing.

No FMCSA lookup or carrier vetting

SignElectronically does not look up operating authority or vet carriers. Keep authority checks, identity checks and double brokering screening in a dedicated carrier vetting tool. An electronic signature records acceptance rather than certifying that the carrier is legitimate.

No insurance verification

A signed packet does not confirm coverage, policy limits or exclusions. Obtain the certificate and verify the information through your insurance review process before approving the carrier. Keep renewals and coverage monitoring outside the signing workflow.

No load board

Find capacity, post freight and manage load execution through your existing freight tools. This service handles document preparation, signatures and retained evidence. It does not match trucks, track shipments or replace dispatch software.

Put it into practice

Move rate confirmation signing over in four steps

  1. 1

Count loads and choose a plan

Count sending staff and monthly envelopes, including carrier packets and agreement updates. Choose Plus within its allowance or Pro for more volume and API access.

  2. 2

    Prepare the approved template

Upload your rate confirmation, add acceptance fields and fill the carrier name, MC number, rate, accessorials and pickup and delivery windows. Check the carrier contact independently.

  3. 3

    Send the personal signing link

Invite the authorized dispatcher by email. Share the link through your own text process if appropriate, set reminders and track completion. The carrier reviews and signs on a phone.

  4. 4

    File the completed record

Retain the sealed PDF and audit certificate with the load. Keep carrier vetting and insurance approval in their dedicated systems, then reuse the template for the next load.

Common questions

Electronic signature for freight brokers FAQ

Yes, a carrier can review and sign a rate confirmation in a phone browser. The dispatcher opens the personal signing link, reviews the lane, rate and accessorial terms, then completes the required fields. No printer or scanner is needed. The broker retains the sealed PDF and audit certificate after completion.
