Electronic Signature for Insurance Agencies and Insurance eSign Software

SignElectronically is eSign software for independent insurance agencies. Your producers and CSRs send applications, policy change requests, cancellation forms and broker of record letters, clients sign on their phone in a couple of minutes, and every signed form comes back as a sealed PDF with an audit certificate for the client file.

Where an agency loses days to signatures

A client calls on Thursday to drop a teenage driver from the auto policy and add a new truck. The carrier wants a signed change request before it issues the endorsement. The CSR emails a PDF, the client prints it at work, signs it, photographs it at an angle and sends back a picture with half the second page missing. On Monday the CSR is still asking.

Multiply that by renewals, cancellation requests, no known loss letters, named driver exclusions and broker of record letters, and an agency with five people spends hours every week chasing paper. The risk is not only time. A missing signature on an exclusion or a rejection form is the kind of gap that turns into an errors and omissions claim after a loss.

With electronic signature the CSR sends the form while the client is still on the phone. The client taps the link, signs, and the sealed PDF lands back with the CSR, ready to forward to the carrier and attach to the client record.

What you get

Built for the forms an agency sends every day

A seat for every producer and CSR

Starter includes 3 seats, Plus 10 and Pro 25. Each person sends under their own name, and the principal sees every envelope.

Clients sign on a phone

No account, no app and no printer. The client opens a personal link, fills the fields you placed and signs with a finger.

Templates for agency forms

Save your policy change request, cancellation request and broker of record letter once, with fields for policy number and effective date.

Two named insureds, in order

Both spouses on a homeowners policy, or the business owner and a partner, sign in the order you set, then the producer countersigns.

Signer codes by email or SMS

Ask the signer for a one time code before they open the form. Email codes on every plan, text message codes on Plus and above.

An audit certificate for E and O files

Each completed form carries UTC timestamps, IP addresses and a document hash. If a client later says they never signed the exclusion, you have the record.

Most personal lines clients will never sit at a desk to sign a form. They open the email on their phone, agree to sign electronically, check the policy number and effective date you prefilled, and sign. The whole thing takes less time than finding a pen.

Commercial clients get the same flow. The business owner signs the broker of record letter between jobs, and if a partner has to sign too, the form moves to them on its own. When the client also needs proof of coverage for a contractor or a landlord, a dedicated certificate of insurance software handles the COI side, and the signed letters stay here.

  • Works in any phone browser, nothing to install
  • Prefilled policy number and effective date
  • Clients receive their own signed copy

Cost

What an agency pays for eSignature

Most signing tools bill per user. An agency with three producers, four CSRs and an office manager pays for eight licenses, and pays again each time it hires. Our plans include seats. Starter covers 3 senders for $24 a month on yearly billing. Plus covers 10 senders, 500 envelopes a month, bulk send and SMS codes for $74 a month on yearly billing.

One envelope is one sending, however many people sign it, so a homeowners application with two named insureds and a producer counts once. Clients never need a seat. If your agency is moving off DocuSign, the DocuSign alternative page lays out the same arithmetic for a team of ten.

  • Seats for producers, CSRs and the office manager
  • Clients sign free on any device
  • Monthly or yearly billing, cancel at the end of the period
  • Sealed PDFs and certificates downloadable as a ZIP

Monthly cost for 8 agency staff who send

SignElectronically Plus, 10 seats $74/mo

Billed yearly, SMS codes included

Questions

Electronic signature for insurance agencies FAQ

Yes. The federal ESIGN Act states that it applies to the business of insurance, and the state versions of UETA do the same for most transactions. Applications, policy change requests, cancellation requests, no known loss letters and broker of record letters can be signed electronically, provided the client agrees to sign that way and you keep the signed record.
