Electronic Signature for Contractors and Home Service Companies

Win the job while the homeowner is still interested, and get change orders approved before the crew does the extra work. Give your estimators, project managers and office staff one signing workflow with seats included and a dated record of every signature.

For US remodeling, roofing, solar, HVAC and trades companies with 1 to 25 people sending paperwork. Customers sign in a browser without an account.

Encrypted in transit Signers need no account

Electronic signature for contractors lets a homeowner, co-owner and property manager sign proposals, contracts and change orders through personal browser links, by email or SMS code. SignElectronically routes each document in a set order and returns a sealed PDF with an audit certificate. Starter, Plus and Pro include team seats at a flat plan price, so every estimator and office admin can send without a separate subscription.

Close the job at the kitchen table

Turn a verbal yes into a signed contract the same day

An estimator leaves a roof quote on Tuesday. The homeowner says it looks good, then compares two other bids over the weekend. A paper contract that waits for a second visit loses jobs. Sending the proposal for signature before you leave the driveway, or the minute the homeowner says yes, keeps the deal from cooling.

Upload your contract or proposal as a PDF, add the homeowner as the signer and place the signature, initial and date fields. If a spouse also has to sign, add a co-owner and set the order. Reminders go out on their own, and you can see whether the link has been opened before you call back.

The timeline shows an illustrative remodeling contract signed by the homeowner while a co-owner reviews. When everyone has signed, the sealed PDF and audit certificate come back to your office, so the start date can be set with a signed contract in the file and not a photo of a signature page.

State home improvement laws often require specific terms, cancellation notices and licensing numbers on the contract. The signature records who agreed and when. It does not decide what your contract has to say, so have counsel review your own wording.

Give every job and every subcontractor a signed record

Proposals and contracts

Send the same contract template to every customer with the right name, address and scope. Keep the sealed copy with the job record. A reusable template keeps payment terms and warranty language identical from one estimator to the next.

Change orders

When the customer adds a deck, moves an outlet or opens a wall and finds rot, send a short change order with price and schedule impact. The customer signs from a phone, and the extra work has a signed record before materials are ordered.

Deposit and progress payment approvals

Send a signed authorization for the deposit and each milestone so everyone agrees on what has been finished and what is due. It gives you a dated record if a customer later disputes a payment.

Subcontractor agreements and lien waivers

Electricians, plumbers and framers each need an agreement, a certificate of insurance and a waiver with each payment. Send them in one batch and keep the signed set organized by job.

Crew hiring and policy paperwork

A new hire needs an offer letter, a vehicle policy, a safety acknowledgment and a tool agreement. Send them as one packet and keep the signed set in the personnel file. Bulk send handles a whole seasonal hiring class.

Property manager and commercial work orders

Property managers and builders who send you steady work want a master services agreement and a rate sheet. Send it for signature once, then reference it on each work order.

How it works

Move an accepted bid to a signed contract in four steps

  1. Step 1

    Upload the contract

Export your proposal or contract as a PDF, add the customer name and job address and upload it. On Plus or Pro, use a shared template so every estimator starts from the same field layout and signer roles.

  2. Step 2

    Assign signers and order

Add the homeowner and any co-owner, place signature, initial and date fields, and add CC recipients such as the office admin. Check that the right person signs each page before sending.

  3. Step 3

Send by email or SMS code

The customer opens a personal link on a phone or laptop and signs in a browser. Reminders and an expiration date keep the bid from going stale, and you see whether the signer has opened the document before you follow up.

  4. Step 4

    File the sealed record

Attach the signed PDF and audit certificate to the job record in your job management software. Reuse the same template for the next customer, updating the details each time.

The demo above lets you prepare a document before moving into a paid sending workflow. Use a sample form without customer information when exploring it. Sending invitations to other signers requires a plan, and each sent envelope uses the plan's monthly allowance.

Batches for waivers and policy updates

Send the same document to a whole subcontractor or crew list

Team reviewing a subcontractor spreadsheet before sending individual agreements

Insurance certificate renewals, payment waivers at the end of the month and crew policy changes all send one document to many people. Export the list from your accounting or job software, remove duplicates and prepare a CSV with each recipient's name, email and document values.

Plus supports 200 recipients per batch, and Pro supports 1,000. Each row creates its own envelope with its own signing record and uses one envelope from the monthly allowance. A subcontractor who signs does not wait for the rest of the batch.

Read the CSV bulk send workflow for individual agreements for template and recipient mapping.

Team cost comparison

Compare included seats with per user subscriptions

A contracting company may have two estimators, a project manager, an office admin and an owner who all send documents. Count the staff who send, not customers or subcontractors, who never need a paid seat. SignElectronically prices the company plan with included seats and a shared monthly envelope allowance.

The table uses DocuSign reference rates for October 2026, Standard at $30 per user per month and Business Pro at $45 per user per month, both billed yearly. The source is DocuSign plans and pricing at docusign.com. Confirm current rates and allowances there before purchasing.

Fit and limitations

Keep your job management software where it is

No job software connector

There is no native connector to Jobber, Housecall Pro, Buildertrend or other field service tools. Export the contract as a PDF, send it, and attach the completed file to the job. Plus webhooks and the Pro API let your developer match signing events to job records if you want that automated.

Not an estimating or payment tool

SignElectronically does not build estimates, schedule crews or collect payment. If your job software already handles proposals well for your estimators, keep it for that and use this for change orders, subcontractor and hiring paperwork.

State rules still apply

Many states regulate home improvement contracts, licensing, deposits and cancellation notices. Confirm your contract terms with your licensing board and counsel. The audit record shows who signed and when, and it does not replace legal review.

The ESIGN Act and state UETA laws support electronic signatures for many commercial and consumer transactions when consent, intent and record retention requirements are met. The audit certificate records signer email, IP information and timestamps. Review the US electronic signature framework under ESIGN and UETA.

Common questions

Electronic signature for contractors FAQ

Yes, a proposal or change order signed electronically is generally valid under the US ESIGN Act and state UETA laws when the customer consents to electronic records and intends to sign. Some states add rules for home improvement contracts, such as cancellation notices, so check your state licensing board and ask counsel about your contract wording.
