The best e-signature software for property managers depends on where the lease is born. If your property management system generates the lease and includes signing at a price you accept, stay there. If you pay per document, pay for every leasing agent as a separate user, or send owner agreements, vendor contracts and renewal batches the system cannot template, a separate tool with seats included and bulk send is usually cheaper and faster. For a company with 3 to 25 people, that choice decides whether eSignature costs $25 or $400 a month.

We sell an eSignature product ourselves, so read this with that in mind. Competitor figures are public list prices or published third party price trackers as of October 2026, and we note where a vendor only quotes through sales. Check each vendor's live pricing page before you sign anything.

What property managers need from e-signature software

A property management company signs more documents per employee than almost any other small business, and most of them follow a calendar. Leases expire on a schedule, so renewals come in waves. Owners sign management agreements when they hire you and fee changes when you raise them. Vendors sign service contracts every spring. That shape sets the requirements:

  • Several signers on one lease. Every adult tenant, a guarantor and the manager, with each tenant signing their own fields in parallel.
  • Bulk send for renewals. One renewal template sent to fifty households from a spreadsheet, with rent and dates filled per row, each household in its own envelope.
  • Seats for the office, not just the broker. Leasing agents, the coordinator, the maintenance lead and accounting all send documents.
  • Phone signing with no account. Tenants and owners sign from a mobile browser.
  • An audit trail per unit. Timestamps, IP addresses and a tamper check you can produce in a deposit dispute or in court.
  • A predictable bill. Per document fees look small until renewal season.

Two things the table does not show. First, AppFolio and Buildium sign the lease well, because they wrote it. Owner management agreements, vendor contracts, HOA forms and attorney drafted commercial leases are where offices start emailing PDFs again. Second, the "signed by whom" list grows faster than you expect. A per user plan that looked fine for the broker turns into five licenses once leasing and accounting want to send too.

Is the e-signature in my property management software enough?

It is enough when three things are true: every document you send is generated by the system, the signing fee is included in your plan, and nobody outside the leasing team needs to send. If you are on Buildium Premium or an AppFolio tier that covers your volume and you only sign residential leases, adding another tool rarely pays off.

It stops being enough when you pay per document at scale, or when a growing share of your paperwork lives outside the system. A 600 door portfolio renewing about fifty leases a month, plus twenty move ins and a handful of owner and vendor agreements, sends roughly 80 to 90 envelopes a month. At $5 per document that is $400 to $450 a month just in signing fees on a lower Buildium plan, more than many companies pay for a full eSignature plan with seats. That is the number to check on your last three invoices.

If you are reconsidering the property platform itself, not just signing, it is worth comparing property management software with flat pricing instead of per unit fees before your next renewal with the current vendor.

What property managers pay for e-signature software

The table prices three typical offices on the tools that charge per user, and on ours. Per document tools are left out because the bill depends on volume rather than headcount.

People who sendDocuSign StandardDocuSign Business ProPandaDoc Business, yearlySignElectronically
3 (owner broker, leasing agent, coordinator)$90 a month$135 a month$147 a month$24 a month (Starter, 3 seats, 50 envelopes)

15 (regional company)$450 a month$675 a month$735 a month$249 a month (Pro, 25 seats, 2,000 envelopes, API, SSO)

On monthly billing our plans are $49, $149 and $499. Tenants, guarantors, owners and vendors never need a seat on any of these tools, so only count the people in your office who send. For the full per plan detail on the other vendors, see our DocuSign pricing breakdown and the PandaDoc pricing guide.

Can a lease be signed electronically?

Yes. Under the federal ESIGN Act and the Uniform Electronic Transactions Act adopted in 49 states, a residential or commercial lease signed electronically has the same legal effect as one signed in ink, as long as each tenant agrees to sign electronically and you keep an accurate copy of the signed lease. New York, the one state without UETA, recognizes electronic signatures under its own Electronic Signatures and Records Act.

Renewals, extension addenda, pet and parking addenda and owner management agreements follow the same rule. What a good tool adds is proof: who opened the document, when each tenant signed, from which IP address, and a hash that shows the PDF was not edited afterward.

Which property management documents cannot be signed electronically?

The ESIGN Act excludes notices of default, acceleration, repossession, foreclosure, eviction or the right to cure under a rental agreement for a primary residence. Pay or quit notices and similar notices therefore follow your state's delivery rules, usually personal delivery, posting or mail. Deeds headed for county recording and anything that needs a notary also go another route. Leases, renewals, addenda, move in checklists, owner agreements and vendor contracts are fine.

Some states and cities add their own disclosure and translation rules for leases. Treat this as general information, not legal advice, and confirm notice rules with your attorney.

Do I need bulk send as a property manager?

You need bulk send once you renew more than about twenty leases a month or send the same addendum to a whole building. Without it, a coordinator builds each renewal envelope by hand, which takes five to ten minutes each and invites typos in the rent figure. With it, one CSV with tenant, unit, new rent and term creates a personal envelope per household in a single send.

Check where bulk send sits on each vendor's price list. On DocuSign it is part of Business Pro, on PandaDoc it starts at Business, and on our plans it is part of Plus, up to 200 recipients per batch, or 1,000 on Pro. We explain the mechanics on the bulk send page.

How to choose for your company

Pull three numbers before you talk to any vendor: how many people in the office send documents, how many envelopes you sent in your busiest month last year, and what share of those came from your property management system. Then:

  • If almost everything comes from the system and signing is included, stay with the built-in tool.
  • If you pay per document and your busiest month tops about 20 envelopes, price a flat plan against your last renewal season.
  • If more than three people send, avoid per user pricing unless you need a specific integration that only one vendor offers.
  • If you want signed renewals to flow back into your own systems, look for webhooks or an API on the plan you can afford.

Our page on electronic signature for property management shows the renewal workflow, the owner agreement signing order and the document scope table in detail. To see it on your own renewal addendum, upload it to our electronic signature software and place the fields in a minute, then pick a plan on the pricing page. If you manage a smaller number of leases with roommates and guarantors, the real estate eSignature use case walks through a single lease step by step.

Frequently asked questions

What is the cheapest e-signature software for property managers?

For one landlord sending a few leases a year, a per account tool such as signNow's entry plan or a built-in signing allowance is cheapest. For an office where three or more people send and renewals come in batches, a plan with seats included is cheaper: SignElectronically Plus covers 10 people and 500 envelopes for $74 a month billed yearly.

Does DocuSign work for property management?

Yes, and it integrates with most property platforms. The trade off is price: DocuSign bills per user, and bulk send sits on Business Pro at $45 per user a month, so an office of eight pays about $360 a month for the plan that handles renewal batches.

Can tenants sign a lease on their phone?

Yes. On every tool in this comparison, tenants open a personal link in a mobile browser, review the lease, initial each marked page and sign with a finger, with no account and no app. Each co-tenant signs their own fields, and everyone receives the sealed copy when the last party signs.

Can I collect rent or a deposit on the signing page?

Some tools, such as higher signNow and PandaDoc tiers, attach a payment request to the document. We do not collect payments on the signing page; tenants pay the deposit and first month through your rent payment portal, which keeps the money in the system where your accounting already lives.
