The best e-signature software for a small business is the tool that gives your whole team signing order, reminders, an audit trail and templates at a monthly price that does not climb with every new colleague. Which product that is depends on how many people send documents and how many you send each month. This comparison covers six options, how each one charges, and where each one fits.
We make one of the products on this list, so read our section with that in mind. We have tried to describe every tool the way its own pricing page does and to say plainly where another product is the better choice.
What a small business actually needs
Feature lists for signing tools run to hundreds of lines. A company of five to fifty people uses a small part of them. Before comparing vendors, check your own needs against this list.
- Several signers in a set order. Client first, then your director. Two tenants together, then the landlord.
- Automatic reminders and an expiry date. So nobody has to chase by email.
- An audit trail and a sealed PDF. A record of who signed, when and from where, and a file that shows later edits.
- Templates. The same NDA or offer letter set up once and reused.
- Seats for everyone who sends. Shared logins ruin the audit trail, because the record names the account and not the person.
- Enough envelopes. An envelope is one document or packet sent for signature. Count what you send in a busy month.
- Bulk send, if you hire or onboard in batches. One document to many people, each with their own copy.

DocuSign eSignature
The best known name in the category, which matters when your counterparties are large companies whose staff have signed with it many times. The product is mature and covers nearly every workflow, including many integrations with business software. Pricing is per user. On the public list, Standard is $30 per user a month and Business Pro is $45 per user a month, with bulk send on Business Pro and an envelope allowance of 100 per user per year noted on that plan. The Personal plan at $11 a month with 5 envelopes suits a single person who signs occasionally.
Good fit for a solo professional, or a company that needs a specific integration or wants the most recognised brand on its signing emails. Less good when five or more people send, because the per user price multiplies. We break the numbers down in DocuSign pricing explained.
Dropbox Sign
Formerly HelloSign. A clean, simple signing product that works well alongside cloud file storage. The public list shows Essentials at $15 a month for one user and Standard at $25 per user a month starting from two users, with a custom Premium plan. The signing API is sold as a separate product with its own pricing.
Good fit for one or two people who want a straightforward tool and already keep their files in Dropbox. Less good for a growing team on a budget, for the same per user reason, and for teams that want the API in the same plan.
Adobe Acrobat Sign
Signing is part of the Acrobat family, so you get a full PDF editor together with signature requests. Plans are sold per user and the lineup changes with Acrobat's own packaging, which makes the price harder to compare at a glance.
Good fit for teams that already pay for Acrobat and edit PDFs every day. Less good if you only need signing, since you would pay for an editor you may not use.

A signing tool priced per user with a low entry point. It covers the core workflow of fields, signing order and templates.
Good fit for a very small team that wants the lowest price per seat and is comfortable comparing plan tiers carefully. Less good once the headcount grows, as with any per user model. PandaDoc
Built around creating documents, not only signing them. You write proposals and quotes in its editor with pricing tables and content blocks, then send them for signature. It is priced per seat.
Good fit for sales teams that build proposals from scratch and want document creation and signing in one place. Less good if your documents already exist as PDFs and you only need them signed, because much of what you pay for goes unused.
SignElectronically
Our own product. It is electronic signature software built for teams, priced as one company plan with seats included. Starter is $49 a month, or $24 a month on yearly billing, with 3 seats and 50 envelopes a month. Plus is $149 a month, or $74 on yearly billing, with 10 seats, 500 envelopes a month, bulk send for up to 200 recipients per batch, shared templates, branding and webhooks. Good fit for teams of three or more senders who want a predictable bill. Less good in three cases. A single person who signs a handful of documents a month will pay less on a personal plan elsewhere. A team that needs qualified electronic signatures under eIDAS needs a qualified trust service provider, which we are not. And a team that wants to write proposals inside the signing tool will be happier with a document builder.

The pattern holds for any per user tool. With one sender, per user pricing wins. From about three senders the flat plan is cheaper, and the gap widens with each hire. Questions to ask before you buy
- How many people will send in a year from now? Price the tool for that number, not for today's.
- What is the envelope limit, and what counts? Ask whether a voided or deleted document gives quota back. With us it does not, and we say so on the pricing page.
- Which plan has bulk send and templates? Some vendors keep them for the top tier.
- What does the audit certificate look like? Ask to see one. It should be readable by a person who is not technical. See what ours records on the audit trail page.
- Is the API in the plan or a separate product? This matters if you ever want signing inside your own software.
- What happens to documents when you cancel? Make sure you can export the signed files with their certificates.
- Is the vendor clear about compliance? Be wary of vague certification claims. Ask what is offered and what is not.
How to run a fair trial
Pick one real document that needs two signers. Send it through each tool on your shortlist to yourself and a colleague. Time how long setup takes, read the reminder emails as a signer would, and open the finished PDF in a standard reader to check the seal and the certificate. Our recommendation by situation
- One person, a few documents a month. A personal plan from DocuSign or the single user plan from Dropbox Sign costs least.
- Already paying for Acrobat. Use the signing that comes with it and see whether it covers your needs.
- Sales team writing proposals. Look at PandaDoc first.
- Three to twenty five people sending existing documents. A flat team plan is the economical choice, and that is the case our product is built for.

- Documents that legally require a qualified signature. Use a qualified trust service provider, whatever else you use for everyday contracts.

What is the cheapest e-signature software for a small business?
For one sender, a personal or single user plan is cheapest. For three or more senders, a flat team plan usually costs less than paying per user. Work out the monthly total for the number of people who will send, not the headline price per seat.
Do signers need to pay or create an account?
No. With every product in this comparison the people who receive a document sign through a link in their email. Only the people who send documents need seats.
What is an envelope?
One signing request. It can hold a single document or a packet of several, and it can go to one signer or many. Plans count envelopes sent, either per user per year or per team per month.
Can a small business switch tools later?
Yes. Signed documents are standard PDFs that you can download and keep. Templates do not transfer between vendors in a common format, so you rebuild them, which usually takes a few minutes each.
Is e-signature software safe for contracts?
A sound tool encrypts documents in transit and at rest, records an audit trail and seals the final PDF so later changes are visible. Ask each vendor how it does this and read the answers, including what it does not claim.
